SafeW Launch Checklist: Departments, Groups, Devices, and File Download...

When an enterprise chooses SafeW as its internal communication tool, it means keeping communication data firmly in its own hands. But deployment is just the first step. How can you get departments, groups, devices, and file download processes on track quickly? This checklist will help you clarify your approach.

1. Departments and Groups: Build a Clear Organizational Structure

First, create departments in the SafeW admin console according to your company's actual structure. It is recommended to use a hierarchical structure, such as "Headquarters - Technology Department - Backend Group," to facilitate permission management and message routing. After creation, bulk import employees and assign them to the corresponding departments to ensure everyone finds their "organizational home."

Next, create groups for each project or regular collaboration. SafeW supports ultra-large groups, so even a company-wide group with thousands of members runs smoothly. Please standardize group naming conventions, such as "[Project A] Core Members." Also, use group announcements to pin important information and set up administrators to handle member approvals and message discipline.

2. Device Sync: Enable Secure Access Anytime, Anywhere

SafeW supports multi-device sync, allowing employees to switch seamlessly between phones, computers, and tablets. In security policies, it is recommended to enable "forced device binding" and "remote wipe." On first login, each employee must scan a QR code or enter a one-time verification code to ensure the device is trusted.

For departed employees or lost devices, administrators can revoke the device with one click to prevent data leaks. Also, regularly review the device list and clean up devices that have not been used for a long time. This ensures flexibility while maintaining a strong security baseline.

3. Files and Downloads: Secure Transfer and Storage

File transfers in SafeW are encrypted end-to-end by default, but download permissions still need fine-grained control. It is recommended to set different file download policies for different groups or departments:

  • Core R&D groups: Disable downloads; allow online preview only to prevent source code leaks.
  • Marketing department: Allow downloads, but enable watermark tracking for traceability.
  • Company-wide group: Allow downloads, but restrict file size and type.

Additionally, enable the file security gateway to scan downloads for viruses and filter sensitive information. For large files, configure SafeW private cloud storage to ensure both speed and security.

A Final Tip

During the initial rollout, consider piloting SafeW in the IT department first, gather feedback, and then gradually expand. Use SafeW's Bot/API interfaces to integrate internal approval, notification, and other systems, seamlessly blending communication with business workflows. We hope this checklist helps you get up and running with SafeW quickly and embark on a secure and efficient collaboration journey.
